Stock management for hospitality

Know at any moment what sits in which store room and what it is worth. Stock and value move with every delivery and every sale, without anyone maintaining a list.

BevoraX inventory: stock on hand and FIFO stock value per product for the cold room location

The problem

In many venues, stock is a number from the last count. Whatever happens in between lives on delivery notes, in the POS and in someone's head. Stock value is estimated from the last purchase price, and you find out something ran out when a guest orders it.

How BevoraX solves it

Real-time stock

Deliveries increase stock, sales deduct the ingredients of their recipes, breakage and corrections are booked individually. Every movement stays traceable as its own entry.

FIFO stock value

Each delivery creates a cost layer with quantity and purchase price. Usage always draws from the oldest layers first, so stock value is documented, not averaged.

Locations and transfers

Nest storage locations, such as a cellar with individual shelves. Transfer stock between locations, and view every report for one location or all of them.

Reorder points and suggestions

When a product drops below its reorder point across all locations, a suggestion appears for its preferred supplier. One click turns it into a purchase order.

How it works

  1. 1

    Add products

With pack size, content and purchase price, by hand or via CSV import.

  2. 2

    Book stock in

Receive deliveries against purchase orders or scan the delivery note.

  3. 3

    Let it run

Sales, breakage and stock counts keep stock current.

Worked example

FIFO in one example

Delivery 1: 6 bottles of gin at €16.00
€96.00
Delivery 2: 6 bottles of gin at €18.00
€108.00
Used: 8 bottles (6 × €16.00 + 2 × €18.00)
€132.00
Remaining: 4 bottles at €18.00
€72.00

With an average price of €17.00, the remaining stock would be on the books at €68.00, even though every bottle on the shelf cost €18.00.

Frequently asked questions

What does FIFO mean for stock valuation?

First in, first out: whatever was delivered first counts as used first. Remaining stock is therefore valued at the most recent purchase prices, and the cost of a sale at the prices of the stock actually used.

Can I manage several store rooms or sites?

Yes. Storage locations can be nested, for example cellar, cold room and bar with individual shelves. Reports show one location or all of them combined.

How are cases, bottles and millilitres converted?

You set the pack and content per product, for example 6 bottles of 0.7 l. You buy in packs, count in cases and units, and use in ml or g. BevoraX converts automatically.

What if I booked something by mistake?

Entries can be reversed, and the reversal stays visible. The owner can also delete receipts that have not been used yet.
