FAQ

Questions & answers

Answers on setup, recipes, stock tracking and pricing - what hospitality operators ask most before getting started.

Basics

What is BevoraX?

BevoraX is inventory management built for hospitality: stock, sales, purchasing and recipes in one system. Every sale consumes the right ingredients, every delivery builds a FIFO cost layer.

Who is BevoraX for?

For hospitality businesses that want a reliable picture of their cost of goods and margin per item - from a single site to an operation with several stores.

Does BevoraX replace my till?

No. BevoraX is the inventory system behind it - stock, recipes, purchasing and reporting. You record sales directly in BevoraX, upload your till's daily report as a photo or PDF for the AI scan to read, or import it as a CSV. A direct POS integration is planned.

What devices does BevoraX run on?

BevoraX runs in the browser - desktop, tablet and phone. No installation required; on your phone you can add BevoraX to the home screen as a web app.

Stock & valuation

How does FIFO valuation work?

Every goods receipt creates a cost layer with quantity and purchase price. Usage and sales consume the oldest layers first, so stock value and margin are exact rather than averaged.

What happens when a cocktail is sold?

The sale explodes the recipe and consumes each ingredient at its FIFO cost. Revenue, cost of goods and margin land per line immediately.

How does the AI scan work?

You upload a delivery note, an invoice or your till's daily report as a photo or PDF. The AI reads the lines and matches them to your products, converting pack sizes automatically. You review and confirm - nothing is posted before that. The scan is included in the Pro and Advanced plans, and during the beta you get 20 scans per month per scan type.

How are pack sizes and units handled?

You record purchasing in the delivery unit (e.g. a 0.7 l bottle) and recipes in the usage unit (e.g. ml). BevoraX converts automatically.

What is a reorder point?

The stock level at which an item should be reordered. When stock across all stores drops below it, BevoraX suggests a reorder from the preferred supplier.

How do inventory counts work?

You count per location in cases and pieces, open bottles by fill level or on the scale. BevoraX compares target and actual with stock value, posts the difference as a traceable correction and alerts you to unusual shrinkage.

Setup & data

How long does setup take?

The first steps take minutes: create your company, add your first products and suppliers. Existing product and supplier lists can be imported as CSV. Your full range with recipes takes a few hours depending on its size. After that, stock maintains itself through sales and goods receipts.

Can I export my data?

Yes. Your data is yours: on request we provide it in a common format (CSV) - there is no lock-in.

Does BevoraX support multiple locations?

Yes. Stock, stock value and reports can be viewed per location or consolidated across all locations. The reorder point applies per product across all stores. Locations can be nested, and stock can be moved between them.

Can several people use BevoraX?

Yes, with roles: owner, manager and staff, each with graduated permissions. The owner decides individually who may invite new members and who may manage purchasing. Sign-in can be secured with two-factor authentication.

Is BevoraX GDPR-compliant and where is the data held?

BevoraX is built for GDPR compliance. Where data is processed and which processors are involved is set out transparently in the privacy policy.
